Scout Discoveries is a vertically integrated exploration and drilling company based in Coeur d'Alene, Idaho — drilling and geoscience in house, an internal lab being built to close the loop — that takes deliberate care of its people while it pursues Tier One discoveries across the state. Scout is the largest holder of unpatented claims in Idaho, working gold, silver, and copper, and building a culture of entrepreneurship, learning, and looking out for one another.

Vendors who get paid correctly and on time keep a field operation running. AP that drifts — duplicate invoices, missed payment runs, or the same person originating and signing payments — creates cost, friction, and control risk a near-public company cannot carry.

Scout's transaction volume has outgrown a part-time AP position, and vendor interactions and payment runs have been landing on the Head of Office & Facilities as overflow. This role takes that back: one full-time owner for accounts payable and the vendor communication that keeps relationships smooth. AP consolidates fully here, out of the office function, which fixes the originate-and-sign control risk as Scout tightens its processes.

The role also supports the month-end close under the Controller, with AP accruals and reconciliations that keep the books clean, and brings AP filing and records current.

We drill. We discover. We do it again, until discovery stops being luck.

The Program

Accounts Payable

  • Processes vendor invoices, payment runs, and expense reimbursements — clean and current, across all entities
  • Manages AP aging and vendor account maintenance, with reconciliations reviewed by the Controller
  • Owns day-to-day vendor communication on invoice status, terms, and issues, as one clear point of contact
  • Routes invoice intake from the field, warehouse, and office through approval to payment
  • Receives contract and payment information from the Head of Commercial to process

Close & Controls

  • Supports month-end close with AP accruals and reconciliations
  • Maintains the separation of origination and approval — this role executes the payment run, the Controller's team holds the checks
  • Tightens AP process and controls as Scout approaches public-company standards
  • Brings AP filing and records current, and keeps them audit-ready

Cadence

  • Weekly: payment runs; vendor queries answered; invoice intake from the field, warehouse, and office routed
  • Monthly: AP accruals to the Controller for close; aging reviewed; reconciliations submitted
  • Quarterly: controls check with the Controller as public-company standards approach

A Good Year Looks Like This

  • Vendors are paid correctly and on time, through one clean point of contact
  • Month-end AP accruals land clean, every close
  • AP aging is current and explainable — nothing stalled, nothing lost
  • AP records are filed, current, and ready for an auditor to walk through

What You Bring

  • 3+ years in accounts payable or full-cycle bookkeeping, ideally at a fast-paced, higher-volume company
  • QuickBooks experience, Online preferred; strong Microsoft Excel and Office skills
  • Strong attention to detail with invoices, aging, and reconciliations
  • Controls-minded: comfortable separating origination from approval
  • Clear, professional vendor communication; organized and discreet with payment records

  • Full time, in office in Coeur d'Alene, Idaho
